Instructions for Online Registration & Fee Payment

1.    Download and open the Online Registration Form

Special Note: Please make sure you keep your Acrobat Reader updated. Your document is not a simple pdf anymore. PDF Fillable Forms require scripting language which is dependent on Windows. As Windows updates its program so does Adobe. Not performing these update could effect usability of the form fields.

Attention: MAC user will need to download adobe reader for the MAC in order for the forms to work correctly.

2.    Save and send the completed form to campinfo@bearcreekcamp.org.

3.    Click here to make online payment of camp fees.

4.    After registering online a Registration Confirmation and further information about camp will be sent to you.

$100 Coupon Scholarship: Each affiliated congregation was given one $100 scholarship coupon.  Please see your church leader to see if this coupon is available for your use.
Congregational Based Scholarships: Some congregations have funds available to help defray the cost of camp.  Please see your church leadership for more information.
Additional Camperships:  We work to ensure no child is turned away from camp due to lack of funds.  Additional scholarships are available through various sources; please complete our campership form.

Notes about Online Registration

1.    Due to additional costs incurred in the online registration process normal camp discounts are not available with Online Registration.

2.    A Registration Confirmation will be sent to you after your registration has been processed. 

3.    If you do not receive acknowledgement of your registration within five days please e-mail campinfo@bearcreekcamp.org.

4.    A completed Health History is required for all resident campers and will be sent with your registration confirmation.

Additional Registration Information

REGISTRATION PROCESS

· Complete the Registration Form and mail it with your deposit to Bear Creek Camp.  We cannot register campers without a complete registration form and deposit.  Online registration and payment is available at www.bearcreekcamp.org.

· Deposits and payments can be made with a check payable to Bear Creek Camp or with your credit card.  A monthly electronic funds transfer can also be set up to pay camp fees.  Please contact our Office Manager at 570-472-3741 or bccamp@bearcreekcamp.org if you would like more information.

· After receiving your registration form and deposit, we will send you a registration confirmation, camper Health Form, and the Getting Ready For Camp booklet.  These forms will not be sent by postal service if an email is indicated on the registration form. 

· Processing registrations may take 2 to 3 weeks.  If you have not received a confirmation in 3 to 4 weeks, please contact us.

· When you receive your registration confirmation, please review it and notify us if anything is incorrect.

· Complete the Health Form and return it to camp at least 1 month before the camper’s arrival.  For health and safety reasons the Health Form must be filled out within 6 months of camp attendance and updated annually with evidence of a health examination within 24 months of arriving at camp.  We are not able to use a Health Form from a previous year at camp.  Dates of current immunizations must be shown on the Health Form.

· Campers will not be allowed to stay at camp if these forms are not completely filled out and on file at camp.

 

Scholarship Pricing 

· Camp fees are subsidized approximately 30% through donations to defray the cost of camp.  Please consider an additional campership donation to offset this subsidy.

· Scholarship Pricing only applies to the first program a child attends this summer. 

· 1st Time Camper Price-- This rate is for children who have not previously attended a Bear Creek Camp summer program.

· 2nd Sibling Price -- If you have more than one child attending our summer programs in 2010, your child with the lower price program is eligible for this rate.

· 3rd Sibling Price -- If you have more than two children attending our summer programs in 2010, your third child will be eligible for this rate.

 

Discounts 

· Pastor’s Signature Discount -- Church members of the NE and SE PA Synods of the ELCA, and Episcopalian Diocese of Bethlehem and Philadelphia, are eligible to receive a discount  ($10 for resident camp and $5 for nature day camp) if their minister signs the registration form. 

· BCA Discount -- Campers are eligible for a discount ($10 for resident camp and $5 for nature day camp) if their congregation has a registered Bear Creek Ambassador who attended a BCA Annual Meeting in 2010.  If you are unsure if you qualify, please ask your pastor.

· Early Bird Discount -- Campers are eligible for a discount if the total registration fee is sent with the registration form and is postmarked by March 1, 2010.  Full payment must be included in one payment with registration form to receive this discount.

 

Canteen Cards, Camp Photos, or CD's

· The canteen card can be used in the camp store to purchase snacks and other small items, or donate to a charity. To help create a level of equality between our campers, we only sell one $8 canteen card per camper.  The camp store is open on Sunday and Saturday for those who would like to purchase camp shirts, water bottles, or other items.

· A professional quality 8”x10” photo of your camper’s Quest Group is available for $8.

· A slideshow of your camper’s week at camp is available for $8.

· These items are optional and not included in the program fees for camp.

 

Refund Policy

· $10 will be charged for each change in camp registrations.

· All registrations for residential programs are subject to a $100 non-refundable deposit.

· Refunds for cancellations will be made according to the following schedule:

· No Show or less than 2 weeks in advance – 0% Refund

· 2 – 4 weeks in advance – 30% Refund

· More than 4 weeks in advance – 60% Refund

· Cancellations due to medical reasons:

· Will be refunded 100% when we receive a doctor’s certification. 

· Transferring to another 2010 summer session or program may be done at no charge in lieu of cancellation, subject to program openings and availability.

The four-page Camper Health History form is accompanied by a one-page, stand alone, medical recommendation form. The health history is designed so it can be completed by parents. The medical recommendation should be completed by a licensed medical provider.
